Privacy Policy
Pegi Williams Book Shop has been supplying children’s books to schools, libraries and families since 1987. This page explains what we collect when you deal with us, why we need it, who else sees it, and how to get it changed or removed.
Who this policy covers
This policy is from Pegi Williams Book Shop (ABN 76 048 485 891) of 30 Smith Street, Walkerville, South Australia — “we”, “us” and “our” below.
It covers every way you deal with us: this website, orders placed by phone, email or in the shop, school and library accounts, standing orders, and the invoices and statements that follow. We handle personal information in line with the Australian Privacy Principles.
What we collect
We ask for what we need to get books to you and keep your account straight — no more than that.
- When you register for a school or organisation account
- Your name, email address and phone number, and the name and suburb of your school, library or organisation. We record which school you picked from the Australian schools list so your orders reach the right account.
- When you place an order
- The delivery address, your purchase order or reference number if you use one, and any notes you add to the order.
- When you pay
- The amount, the date, and the type of card used — Visa, Mastercard and so on. Never the card number. See card payments.
- When you contact us
- Whatever you put in your email, message or phone enquiry, and our reply, so the next person who helps you can see the history.
- When you use the website
- The pages and books you look at, what you search for, and what is in your basket. Your browser also sends technical information — IP address, browser and device type — which our host records in its logs.
- Your password
- Stored only as a one-way encrypted value. Nobody at the shop can read it; if you forget it we email a link to set a new one.
Why we collect it
- To take, fill, deliver and invoice your orders.
- To run your account — order history, invoices, statements, back orders and standing orders.
- To answer your questions and recommend titles.
- To send order confirmations, invoices, delivery notices and account emails.
- To send shop news and new-release emails, which you can stop at any time.
- To keep the website working, spot problems and prevent fraud.
- To meet our tax, accounting and consumer-law obligations.
If we ever want to use your information for something that isn’t on this list, we’ll ask you first.
Card payments
Card numbers are never entered on, sent to, or stored by this website.
When you pay by card you are handed to eWAY, our payment provider, on their own secure page, with 3-D Secure verification by your bank. What comes back to us is the amount, the date, a yes or no, and the type of card. That is all that reaches our systems and all that appears on our records.
School and library accounts don’t use a card at the checkout at all — those orders go on account and are invoiced in the usual way.
Email we send you
There are two sorts, and they behave differently.
Order and account email — confirmations, invoices, delivery updates and password links. These are part of the service, so we can’t switch them off while your account is open.
Shop news — new releases, catalogues, award lists and events. We send these to customers who have bought from us, and to anyone who asks to be added. Every one carries an unsubscribe link, and you can email us instead; either way we act on it promptly. We don’t sell, rent or swap our mailing list.
School and organisation accounts
If you order on a school, library or organisation account, that ordering isn’t private to you — and it shouldn’t be, because the organisation is paying.
- The person set up as the account’s Accounts contact can see the organisation’s orders, invoices and balance, including orders you placed.
- Your name and email appear on the orders and invoices you raise, so the shop and the school can tell who ordered what.
- The organisation can ask us to add or remove people from its account.
If that doesn’t suit, order as a retail customer and pay by card instead.
Storage and security
Your information is held on this website and in our office system, both password-protected and open only to shop staff who need them. Traffic to and from the site is encrypted, passwords are stored one-way encrypted, and what each person can see is limited by their role.
Some of our service providers — hosting, email delivery, analytics and advertising — may store or process information outside Australia. Where that happens we take reasonable steps to see that it is handled to a standard consistent with Australian privacy law.
No system is perfectly secure. If a breach happens that is likely to cause serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.
How long we keep it
We keep personal information for as long as we need it for the purpose we collected it, and for as long as the law requires us to keep business and tax records. After that we delete it or strip out the details that identify you.
If you want your account closed, ask us. We’ll close it and keep only what we are required to keep of the trading record.
Children
Our books are for children; our website is not. Accounts and orders are for adults — teachers, librarians, parents and grandparents — and we don’t knowingly collect personal information from children. If you believe a child has given us their details, email us and we will remove them.
Access, correction and complaints
You can ask us at any time to tell you what we hold about you, send you a copy, correct anything that is wrong, stop sending you news, or close your account. Email sales@pegiwilliams.com.au, ring (08) 8344 6457, or write to PO Box 1, Collinswood SA 5081.
We don’t charge for it, and we’ll usually come back to you within a few days. We may need to check who you are first.
If you aren’t happy with how we have handled something, tell us and we will look at it again. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
When we change this policy we update the date at the top of the page. If a change materially affects how we use your information, we will say so on the website or let you know by email.
